Hello Everyone,
I'm sending this to you a bit earlier than usual because many arts and crafts fairs have applications available longer
than we usually do.  I know you are busy with the holidays, Christmas, Hanukah, Festivus, Boxing Day, whatever
you prefer.  If you've been reading Miscellany II in the Mountain Express, you'll understand why I have included all
options.  (hahaha—I don't do lol or :), but I'm kidding.)

I will send this again in mid January, which is our usual time for releasing applications. but I wanted you to have a lot
of time to consider changes we have made for applying to the 12th Annual Ketchum Arts Festival.

For the past few years, we have published a Festival Guide that included a photo of artists' work and contact
information.  Problems have arisen because some applicants have applied late, which caused the contents of the
guide to change with each late applicant.  This year we have decided to do what other Festivals do, which is have a
cutoff date for being included in their guides.  The cutoff date for us is our usual application deadline of March 15.

Late applicants also require that we update administrative information to include them.  (We have to keep track of
who participates for the City of Sun Valley tax collector as well as for Festival check in and other administrative
reasons.) They also create problems in assigning booths.  We try to do the booth layout so that artists working in
the same medium are not placed next to each other.      

Here's how we've changed the application process:  Those who apply by the usual deadline of postmarked March
15 will pay the same application and booth fees as last year.  Those who apply postmarked March 16 or later will
pay more.  Those who apply by March 15 may request a specific booth space.  Those who apply March 16 or later
will be assigned a space based on what booths are left.  Those who apply by March 15 will be included in the
Festival Guide.  Those who apply March 16 or later will not be included.  A list of late applicants and their booth
assignments will be available to Festival patrons at the information booth.    

Locals and former locals may apply after March 15 if they are willing to pay higher fees and do not mind not being
included in the Festival Guide or choosing their booth space.  Please note that Idaho Guest artists must apply by
March 15 so that we can jury their work and assure them of a space in a timely manner.  Also, for the first time this
year, we are not holding checks—all application and booth fees will be deposited upon receipt.  Idaho guests who
are not accepted will receive a refund of their booth fees when our jury meets the second week of April.  Booth fees
will be refunded to any artist who cancels by April 30.

PROOFREADING YOUR FESTIVAL GUIDE ENTRY

          I do the graphics for the Ketchum Arts Festival as well as the website, applications and email.  There is
nobody available to proofread what I do, so it is VERY IMPORTANT that you proofread your attached Festival
Guide entry.  Note that booth numbers have not yet been assigned and will be added later.  I'm asking you to look
for typographical errors, not to change your mind about the information you want included in your entry.  This
information has been taken from your application.  
          Typographical errors will be corrected at no charge to you, however, if you want something changed from
the information you have entered on your application, there will be a charge.  Phone me at 208.725.4090 for
information about changes to your entry and applicable charges.
          To approve your entry or inform me of typographical errors, reply to this email as soon as possible.  We
need to get the guide to the printers.


BOOTH SIGNAGE CHANGES

          This year we will be providing booth numbers and artist name tags, but we will not provide signs with your
name, business name, and the city in which you reside.   There is so much to do and few of us to do it, so we have
decided that artists can bring their own signs if they wish to do so.


FESTIVAL RULES CHANGES

       Our rules change as new issues arise.  We encourage you to let a member of the Festival Board know if
there are things we need to change.  You can do this during the Festival by speaking with any of us.  We will be
listed in the Festival Guide and our booth numbers will be given, or you can find us at the information booth.  
Alternatively, you can email me at ketchum_arts_festival@yahoo.com.  If you wish to remain anonymous, that's not
a problem.  I am the only one who reads the email, and I will honor your request.

Festival Rules for Ketchum Arts Festival 2011
(These will be available on our website as soon as I finish the Festival Guide.)

1) Generators are not permitted on Festival Grounds.

2) You may not sell your work outside of your assigned booth space and the area within a couple of feet of it.   
Please do not infringe on your neighbors' spaces.  Artists whose booths face Sun Valley Rd. may display large
scale artworks between their booths and the road at the discretion of the KAF board.

3) Umbrellas are permitted, but the need to be REALLY weighted and set up touching your booth.  We have
designed wide aisles, but all aisles must be kept clear for fire truck easement.

4) No roaming vendors.

5) Please keep music (radios, instruments you play, etc.) at a low volume out of consideration for other artists and
patrons.

6) Due to customer complaints about artists' dogs in 2010, we prefer you do not bring your dog to the Festival.  If
you do, your dog must be on a short leash and tied up (when not being walked) according to the City of Sun
Valley law, and you will be responsible for any damage or injuries it may cause.  If a scuffle occurs, you will be
asked to remove your dog from the Festival site.  Here is an eloquent comment from a 2010 artist about a dog
problem at that Festival.                                                                                                                            

                         When there was a dog scuffle in our aisle, people ran for cover and would not stay to browse or
shop. I love dogs, and love how they are integrated into the community, but art shows are not the place for dogs.
                   It is not fair to all of us artists who have invested so much time and expense into our products, and it
is not fair to all the dogs.  There is no way all of them can stay well behaved at all times.

7) Please refrain from smoking on Festival grounds.

8) The Board of Directors of the Ketchum Arts Festival reserves the right to ask artists to move, modify or remove
items that we deem inappropriate or dangerous.

Please note that many of the above rules are due to requirements of the City of Sun Valley, which owns Festival
Meadow.  We want to be certain to follow them so that we will be welcome at this beautiful venue in the future.

9. AN ADDITIONAL, VERY IMPORTANT, NEW RULE:

          We learn something new every year.  Last year there was a problem with large vehicles backing up near
artists' tents WHEN THERE WERE STILL PATRONS ON THE GROUNDS!!  Therefore, no vehicles will be allowed
in the artist tent area until 6:30 p.m.  (The Festival closes at 6 p.m.)  Additionally, vehicles are permitted in this
area only for loading your stuff.  DO NOT BRING YOUR VEHICLE INTO THE AREA UNTIL YOU ARE READY TO
LOAD IT.  Bring it in, load your things, and leave, being aware that chaos may surround you.

          If we cooperate in this way, we should be able to clear the grounds as quickly as we have in the past, as
there have been delays due to artists who have pulled their vehicles up to their tents and then begin to load items
one by one instead of packing up and loading all at once.

Hello Ketchum Arts Festival Participants 2011,
           This is the last email you will be receiving from KAF.  It is important that you open the letter from Sun
Valley and also the tax permit application.  You will need to send $10 to the address on the application
immediately.  There is a time lag between applying and getting your permit, and you cannot check in to our
Festival without it.  Kelly Ek, at the City of Sun Valley, will send you your permit.  If you have not received it by
July 1, her email is kek@svidaho.org.  She can email your permit, so be sure to give her your email address.   
Her phone number is 208.622.4438, extension 19.  Please contact her about the tax permit.  I am only the
messenger.  Note: if you did not receive this email with Sun Valley letter and tax permit attachment, contact
Kelly Ek.
            Set up begins at noon on Thursday, July 7, in Festival Meadow on Sun Valley Road.  The Meadow is
located next to Our Lady of the Snows Catholic Church.  Coming from the south, take a right at the light on
Sun Valley Rd.  The last stree you will cross is Spruce Ave.  Then you will see the Church of the Latter Day
Saints, the Ranger Station, and Our Lady of the Snows Catholic Church on your left.  Festival Meadow is the
field west of the Catholic Church.
            Please note:  At set up, you will be required to check in at the information booth and show your tax
permit from the City of Sun Valley.  Please do not tell our overworked grounds crew that you "left it in the car"
or any variation of this.  They are stressed enough with all that they have to track.  If you do not have a permit
for the State of Idaho sales tax, they will provide you with a form for a temporary one.  You must collect 2% on
each sale for Sun Valley and 6% on each sale for the State of Idaho.  Please do not ignore this.  We were
mortified last year when an artist offered a customer a sale without sales tax and made it clear that they
declare far less than they make at the festival, and the customer was a person in the accounting office of the
City of Sun Valley.
            As a reminder, this year we are supplying booth numbers and name tags, but no signs with business
names and locations.  We hope you will provide one yourself.
            Festival Rules are posted on our website, www.ketchumartsfestival.com, and you will be given another
copy at check in.
